Short and in plain language: what we do with your details when you visit this site or fill in the form.
Who is responsible
Built by RM, Romen's sole proprietorship that also trades as MartiniTech, is responsible for your details. Questions about your details go to [email protected].
Business details
MartiniTech and Built by RM are trade names of Romen Meima, sole proprietorship
Only what you fill in yourself in the form on the start page: your name, email address, the name and town of your business, what you want from the site (goal, content, technical, timing, budget) and how and when we may contact you. We only ask for your phone number if you choose a call or WhatsApp.
We use this to answer your request, make a proposal and, if you want, build your site. These are steps you ask for before there is an agreement: that is also the legal basis. For hosting, the spam check and visitor numbers the basis is our legitimate interest in a safe, working site. We don't use your details for advertising and we don't sell them.
How your request reaches us
When you press Send, we store your request and your attachments (photos, menus, logos) with Cloudflare, our web host (a processor): your answers in a database, your files in storage that stays in the EU. Romen fetches them from there to his own computer to answer your request and, if you want, build your site.
On top of that, your request goes once, with the attachments, as an email to Romen. For that we use Resend, an email service from the United States that sends the email for us (a processor). Resend sends the email from the EU, but keeps the email and the data about it in the US. That transfer is covered by the EU-US Data Privacy Framework and the EU Standard Contractual Clauses, set out in Resend's data processing agreement. Email to us arrives in Gmail (Google), which stores it for us (a processor).
While you fill it in, your own browser keeps your answers temporarily so they aren't lost if you reload the page. That copy disappears when you close the tab and is wiped as soon as your request has been sent.
If you tick ‘Remember my answers on this device’, your browser also keeps your answers (not your files) after you close it, so you can continue later. That stays on your own device; we can't see it. It is wiped automatically after 30 days, as soon as you send, or right away with the ‘Delete my answers’ button. Without the tick, none of this happens.
If sending fails and you choose your email app or the download, your request goes through your own email program, or stays on your own device.
Hosting and the check against spam robots
To stop spam, the form uses Cloudflare Turnstile. It checks that you're human and processes technical data about your visit for that, such as your IP address. It is only loaded on the start page. Cloudflare also uses that data itself to improve its bot detection; Cloudflare is responsible for that use itself (Cloudflare Turnstile privacy addendum).
This website runs on Cloudflare (Cloudflare Pages). Like any web host, Cloudflare processes technical data about your visit, such as your IP address, to show and protect the site (as a processor). Cloudflare is a US company; transfers to the US are covered by the EU-US Data Privacy Framework and the Standard Contractual Clauses. Cloudflare keeps your sent request for us as described above.
Cookies and visitor numbers
This site uses no tracking or advertising cookies. We count visits with Cloudflare Web Analytics: it works without cookies, stores nothing on your device and builds no profile of you. The fonts are hosted on our own site, so your visit isn't passed on to others for them.
How long we keep your details
We keep your request (answers, files and the email) for at most 12 months after it came in. The stored copies, at Cloudflare and on Romen's computer, are then wiped automatically; Romen deletes the email in his mailbox himself within that time. Resend, which sends the email, keeps its copy for 30 days. If no project follows, we delete your request sooner. If you become a client, we use what you sent for your project and keep those project details for as long as your project or hosting runs. Invoices and bookkeeping we keep for 7 years because tax law requires it.
Your rights
You may see your details, have them corrected or have them deleted. You can also object to their use, ask us to limit it, or ask for your details to take elsewhere. Email us at [email protected].
If you're not happy with how we handle your details, you can file a complaint with the Autoriteit Persoonsgegevens (the Dutch Data Protection Authority).
